we are looking for An Executive Assistant at Lower Parel- Mumbai- AT Globla present Manufacturing company!!
Position : Executive Assistant / Personal Secretory.
Reporting to : The MD.
Experience : 3 – 7 years.
Age of candidate: Max 35 yrs. +
CTC : 2 to 4 LPA(To be decided on current CTC)
Notice Period : 15 days to 30 Days.
Preference : Female candidate.
Qualification : Minimum Graduate.
Summary of Key Responsibilities
Executive Responsibilities:
– Being the point person for the MD and Chairman and efficiently completing all assigned tasks
– Manages day-to-day operational and administrative duties to support the MD. Prioritize daily, weekly,
monthly schedule and agenda of activities, meetings and appointments.
– Coordinating all the administrative work within the department/division, working with other departments/divisions and companies.
– Ensuring a high level of confidentiality while communicating with internal stakeholders and external partners
Travel Itinerary and Calendar Mapping:
– Manage calendars and set up meetings
– Reorganizing calendars as per the change of plans
– Act as the point of contact among executives, employees, clients and other external partners
Maintaining Records (Personal & Official Documents):
– Administrative support for meetings scheduled.
– Accurately recording minutes from meetings
– Visiting Card Management.
– Maintaining a filing System . Filing and retrieving corporate records, documents, and reports.
– Communication of meeting agendas and collating pre reads before hand
– Handling of top & confidential correspondence & managing of document flow.
Communication and Correspondence:
– Managing proper communication with developers, clients, vendors and internal departments for smooth functioning of business.
– Format information for internal and external communication – memos, emails, presentations, reports.
– Filing and retrieving corporate records, documents, and reports
– Collating data to prepare documents for review and presentation by boards of directors, committees, and executives
– Managing internal / external requests for appointments & arranging internal and external meetings, conference / video conference calls.
Coordinating with Media Agencies & Events Organizers:
– Research venues, agencies, suppliers and vendors/contractors
– Liaison with other Media Agencies, consultancy firms, etc.
– Coordination with internal departments organizing events and providing logistical and administrative support.
– Manage all pre-event planning, organizing and post-event evaluation
– Handling Vendor Payments as required.
Job Types: Full-time, Regular / Permanent
Salary: ₹25,000.00 – ₹30,000.00 per month
