As a Personal Assistant, you will provide comprehensive administrative and secretarial support to a high-level executive or individual. You will be responsible for managing their schedules, coordinating meetings and appointments, handling correspondence, and ensuring the smooth functioning of their daily activities. Your role will involve maintaining confidentiality, managing sensitive information, and being highly organized and efficient.
Key Responsibilities:
Calendar Management: Schedule and coordinate appointments, meetings, and travel arrangements for the executive. Ensure that their calendar is well-organized and optimized to maximize productivity.
Communication and Correspondence:
Handle all incoming and outgoing communications on behalf of the executive. This includes phone calls, emails, and written correspondence. Respond to inquiries, prioritize messages, and maintain effective communication channels.
Travel Arrangements: Coordinate travel plans, including flight bookings, hotel accommodations, ground transportation, and visa arrangements. Prepare itineraries and ensure all travel logistics are in place.
Meeting Coordination: Arrange and organize meetings, both internal and external. Prepare meeting agendas, take minutes, and distribute meeting materials. Ensure all necessary resources are available for successful meetings.
Documentation and Reporting: Assist in preparing and editing various documents, reports, presentations, and other materials. Maintain confidential files and records, ensuring accuracy and compliance with organizational standards.
Administrative Support: Provide general administrative support, including handling expense reports, maintaining office supplies, and processing invoices.
Assist in organizing company events and functions.
Relationship Management: Build and maintain strong professional relationships with key stakeholders, including clients, colleagues, and business partners. Handle inquiries and requests in a timely and professional manner.
Research and Information Management: Conduct research and gather relevant information as required. Prepare reports and summaries based on findings to support decision-making processes.
Confidentiality and Discretion: Maintain a high level of confidentiality and discretion in handling sensitive information and matters related to the executive. Exercise good judgment in all interactions and maintain professional ethics.
Skills and Qualifications:
– Proven experience as a Personal Assistant or similar role, preferably supporting high-level executives.
– Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
– Excellent communication and interpersonal skills, both written and verbal.
– Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling/calendar software.
– Discretion and confidentiality in handling sensitive information.
– Attention to detail and accuracy in all work performed.
– Ability to work independently and proactively anticipate needs.
– Flexibility and adaptability to changing priorities and requirements.
– Professional demeanor and ability to represent the executive effectively.

₹12,000.00 – ₹25,000.00 per month
