Full Job Description
The primary purpose of the position of Executive Assistant to the Principal is to provide a high level of professional, practical and timely support to the Principal in their day to day responsibilities. The Executive Assistant performs a full range of secretarial and administrative support functions, including prompt, courteous and effective communication with internal and external stakeholders,
to ensure the smooth and effective administration of the Principals office. The Executive Assistant will be proactive and work independently while understanding the needs and characteristics of people with whom they work. They will frequently be acting for and on behalf of the Principal hence a high degree of confidentiality, diplomacy and tactfulness is required at all times. This position description is a guide only and not an exhaustive list of duties. It is subject to review and modifications by the Principal in response to the changing needs of the school.
ESSENTIAL SKILLS
Must display professional and effective communication and liaison skills with both internal staff and external stakeholders at all levels.
Attention to detail, maintaining a flexible and resourceful approach to effectively multi-tasking and managing workload and workflow.
Anticipates needs with regard to meeting papers and preparation of agendas and papers for regular Management meetings.
Ability to prioritize workloads and work calmly under pressure.
Capability in the writing, editing and drafting of documents.
A capacity to research and analyze.
JOB FUNCTIONS
Maintain and co-ordinate the effective operation of the Principals daily and annual calendar, including ensuring all required paperwork for events, appointments and meetings is available for the Principal in good time prior to the meeting.
Ensure an accurate, up-to-date and well organized filing system.
Manage all incoming correspondence, emails and telephone calls for the Principal.
Prepare to a high standard and in accordance with VVP guidelines all correspondence and documentation generated by the Principal.
Liaise between the Principal and staff, parents, Board Members, school parent groups and outside groups, and organize meetings and interviews as required.
Provide support to the Principal by ensuring ongoing collaboration that builds effective and professional relationships with a range of stakeholders.
Meet and greet guests and VIP visitors.
Manage events organized through the Principals office, including venue bookings, invitations, preparation of service booklets, printing, guest lists, guest speakers, catering and RSVPs.
Organize hospitality for visitors.
Manage the preparations end expectations for the Principals attendance at all internal and external Events, including, but not limited to, such events as Field Days, Open Mornings, Assemblies, carnivals, parent evenings and general school events.
Provide excellent organizational skills, including an ability to:
Support the Principal to ensure that school deadlines are met;
Be sufficiently flexible to handle constantly changing priorities and unexpected demands;
Manage sensitive and confidential issues.
Prepare agendas, papers, minutes and AV presentations for the Principal and other meetings as required.
Attend and record minutes for Executive and other meetings as required.
Co-ordinate and prepare the monthly, quarterly & annual School Report.
Assist the Principal and Executive with the co-ordination of specific projects.
