The maryland staff legal office of the hartford is seeking an experienced remote law office administrator to partner with the managing attorney to oversee the administration and operations of our busy law office which defends matters both tort and workers’ compensation matters across the state of maryland and the district of columbiaThe ideal candidate will enjoy working in a high-volume, paperless environment that is both dynamic and rewardingOur collaborative, team-oriented office is passionate about our cases, our clients, our claim partners and our work productOur selected candidate will be responsible for diverse administrative accountabilities which includes: ensuring timely and accurate completion of operational office administrative duties, case initiation, case closure processes, document management, scanning protocols, reporting, bill invoicing, payments, supply maintenance and equipment reviewAdditional key responsibilities are as follows:

Provide legal support to attorneys within the office workgroup

Assist the managing attorney in the oversight and protection of assets including case file handling, furniture, equipment and other items in the office as needed

Assists with the compliance of the local vendor office protocols office as mandated by corporate policy

Oversee activities related to office calendar and/or diary, scanning, case matching, supplies, bill payment and equipment maintenance.

On-board and oversee training of new employees as needed

Utilize appropriate software to timely prepare correspondence, reports, briefs, motions, pleadings, deposition summaries and other documents as required by the attorney

Support attorneys on cases and matters as requested and serve as liaison with clients, claims, the court, counsel and others

Assist with e-filing through mdec and pacer in both md and dc, state and federal, which involves both uploading as well as downloading documents

Submit record requests for medical records, employment records and other records as requested

Attend to file details that are critical to optimal case outcomes while adhering to all applicable file level workflows and standard operating procedures

Ensure that our attorney talent is aware of upcoming deadlines, activities and events

Escalate issues of concern to the managing attorney and the office team leader

Maintain current, accurate calendar/docket and schedules to prevent missed deadlines or events

Collaborate with the managing attorney on process confirmation and driving change

Collaborate with our office committees to help drive support staff engagement

Travel to the hunt valley office as needed

Qualifications:

Minimum of 5 years of experience as a legal assistant within a paperless insurance defense law office or corporate law department

Demonstrated experience in a high-volume litigation environment with experience in document production, discovery preparation, outlook calendar maintenance and data maintenance for clients

Strong working knowledge of the maryland and d.cCourt systems

Strong multi-tasking, organizational and time management skills

Proficiency with case management software

Strong familiarity with ms 365 office (word, excel, outlook & powerpoint)

Ability to meet productivity targets in a fast-paced, team-oriented environment

Strong written and verbal communication skills

Excellent organizational skills, especially regarding prioritizing team-work activities

Must be able to manipulate electronic documents such as tif, pdf and jpg formats

Compensation

The listed annualized base pay range is primarily based on analysis of similar positions in the external marketActual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the roleThe base pay is just one component of the hartford’s total compensation package for employeesOther rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognitionThe annualized base pay range for this role is:

$54,000 – $81,000
