Job Summary:
System Soft Technologies is seeking a talented Executive Assistant with outstanding professional acumen, capable of supporting C-suite executives. This is a key role that will help drive efficiency and productivity for our executive leadership team.
Responsibilities:
– Conserve Executive’s time by reading, researching, collecting, analyzing information, and drafting and presenting documents
– Manage the Executive’s calendar in an effective manner to ensure smooth day-to-day operations by prioritizing inquiries and requests and troubleshooting conflicts while coordinating schedules, appointments, and conferences
– Make empowered judgments and recommendations as needed to facilitate interactions
– Represent the Executive’s interests both internally and externally on all matters, including those that are highly confidential or critical, then identify the most appropriate course of action, referral, or response, and exercise judgment in accordance with the Executive’s style and the organization’s policies
– Assist as a “gatekeeper” and “gateway” to facilitate smooth communication between the Executive’s office and staff. Demonstrate leadership to maintain credibility, trust, and support with the executive leadership team.
– Coordinate Executive’s commitments, goals, projects, tasks,
and deadlines by effectively delegating, reprioritizing, and navigating conflicting demands
– Assist in facilitating smooth communication between the Executive’s office, partners, staff, and other stakeholders
· Prepare and edit sensitive and confidential correspondence
– Be responsive to emails/texts/phone calls, with contact outside normal business hours
– Prepare reports by collecting and analyzing information and putting them into a PowerPoint
– Maintain high levels of confidentiality and discretion when handling sensitive matters, particularly decisions impacting the operations of the company
– Develop and utilize filing and retrieval systems and recording meeting discussions to ensure accurate historical records and reports.
– Complete ad hoc projects as assigned – such as personal events and/or family needs.
– Handle event planning and preparation for client meetings by coordinating all related logistics, including travel

Qualifications:
– Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
– Expert in Microsoft Office, with advanced PowerPoint skills
– Project management administration and project coordination skills
– Professional social media and web platforms experience
– Ability to set up administrative and operational processes
– Very strong interpersonal skills and the ability to build relationships
– Written and verbal communication skills
– Bachelor’s degree preferred, but not required
– Three to five years of executive assistant experience
– Experience booking travel
– Reporting tools
