Job description – finance and administration executive – ola mobility institute
Level: senior executive or assistant manager
Position type: full time
You will be an integral part of the omi team that informs policymaking, and advances discourse in electric mobility, urban mobility, accessibility and inclusion, energy and mobility and future of work and platform economyYou will assist the executive director of omi in administration and finance matters to ensure an effective management of the financial resources according to the omi procedures.
Maintain and update omi’s databases
Organise a filing system for important and confidential company documents
Maintain a company calendar and schedule appointments for senior management and team
Distribute and store correspondence for the organisation (e.gLetters, emails and packages)
Arrange and manage travel and accommodations
Schedule in-house and external events
Coordinate with internal teams in the organisation: procurement team to on-board new vendors/consultants, admin team, operations team w.r.t to day to day administrative responsibilities
Onboard and manage relationships with all vendors.
Financial management and accounting
Create and update spreadsheets of daily transactions and ensure that transactions are processed daily in the system and that they are accurate and complete
Manage accounts receivable and payable for all vendors and services incurred by the organisation
Review and process reimbursements for team
Prepare budgets on a monthly/quarterly/annual basis
Maintain reports on financial metrics, including project investments, outflows etcAnd report on financial projections (e.gLiquidity and cash flow)
Keep records of invoices and tax payment
Identify and address account discrepancies
Participate in payroll processes
Required attributes and qualifications:
Minimum 2 years of work experience in finance and administration
Bachelors in commerce/business administration or similar field, past experience in working across departments will be advantageous.
Organised worker who can juggle multiple, competing priorities.
Proven work experience as a finance administrator, finance assistant or similar role
Hands-on experience with accounting software, like quickbooks
Advanced knowledge of ms excel (creating spreadsheets and charts and using financial excel functions)
Good interpersonal skills (tact, diplomacy, discretion and impartiality) are essential for this position
Strong team-player with ability to work in virtual teams
Ability to work and communicate effectively with a broad spectrum of individuals within a broad range of cultural environments, especially in the african context, •
High level of good organisational and administrative skills with an ability to work well under pressure
Good understanding of bookkeeping procedures
