Job Purpose
Support & Capacity building of PRAYAS Trust, Project assessment, Agreement Process and Managing Grant administering process and payments, Annual Reviews and Project site visits.
Documentation and provide guidance to Prayas members in identification and execution of CSR project.
JOB DUTIES/RESPONSIBILITIES
Primary 1: Managing CSR portfolio of Prayas Trusts (Across India)
L&T’s Prayas Trust network is a philanthropic association providing selfless community service to the underprivileged across L&T locations. Prayas Trust is formed by the spouses of male employees together with female employees of L&T. They are important drivers of CSR activities and demonstrate personal commitment by volunteering their time and skills for the betterment of the society.
Facilitate the functioning of the Prayas trusts
Facilitate the documentation and process for statutory requirements of the functioning of the Prayas trust as laid down by Trust Acts under the office of Charity commissioner in collaboration with L&T s legal department
Facilitate maintenance of the records as required by the Trust Act
Review the membership of the trust
Preparing Project proposals for CSR activities under Prayas trust
Identify projects, study feasibility and carry out due diligence for CSR projects proposed by Prayas Trust
Guide and help Prayas trust to submit the proposals in the format prescribed
Review the proposals for fulfillment of the prescribed criteria for selection of projects for Prayas Trust
Consolidate the proposals from all the units and share with corporate CSR
Budgeting and Financial management of CSR projects under Prayas Trust.
Communication and coordination with Prayas Trust for submission of annual budgets, reviewing the project progress, budget requirements and spent of the ongoing projects
To review the budgets for all CSR activities undertaken by the Trusts and finalize the budgets based on the CSR policy requirements and send consolidate budgets to Corporate CSR.
Facilitate process and documentation for annual renewals / extensions of the contracts and MOUs Coordination with procurement to issuing grant orders
Keep track of project expenses and utilization of all the grants given to the Prayas Trust
Maintain financial records, analyze budget spent against budget planned and share the observations with the Prayas Trust
Close Follow-up with the Prayas Trust for tracking resource utilization, milestones, outputs and outcomes for each of the projects
Ensure timely submission of half yearly and annual reports of the planned activities
Raise concerns and take up issues related to on ground implementation of the projects with Prayas trusts and report them to the HO CSR team and suggest course correction if required
Regular field visits to the Prayas trust Projects for monitoring and ensuring quantity and quality of work at the ground level
Regular visit to the Project sites to see on ground implementation
Discussion with Prayas team members and understand ground level issues in implementation, good practices and challenges and boost their motivation to achieve set targets
Maintain Documentation
Maintain the details of membership list of all units of Prayas Trust, other mandatory and legal documents
Prepare progress reports and provide quarterly updates on progress to CSR team.
Compile data from various monitoring formats and tracking sheets and present it monthly to the Corporate CSR team
Prepare a monthly progress report and review project plan for upcoming month
EDUCATIONAL QUALIFICATION: Master’s in social work / Masters in Developmental Sciences
NO: OF YEARS OF EXPERIENCE: 2 or 3 yrs
TECHNICAL QUALIFICATION: Knowledge of development sector, Evaluation of Project, Vetting of NGO, Social Science research, Budget Planning, Monitoring & documentation of development Projects.
COMPUTER SKILLS: Basic skills in Computers, Proficiency to work with large excel sheets with data, Proficiency in MS-Office with skills in making Power point, and Web advanced Search and applications
BEHAVIOURAL COMPETENCIES: Excellent written and oral communication skills, good interpersonal skills, team worker and attention to details, Capacity to Multitask
AREAS OF EXPOSURE/ WORK BACKGROUND: Corporate Experience with CSR departments or Foundations, NGO/ Development sector
