Your key responsibilities
The ipb mea business management function is part of the ipb emea coo areaKey areas of focus are:
Act as a business management spoc for ksa related activities for ipb emea
Take complete responsibility and ownership of onboarding and offboarding process for staff aligned to ksa ipb and assist in their access provisioning, it asset set-up and activation, share drives and voice recording, office area set-up and any other pre-requisite to make new joiner ‘ready for work’ including training and hand-holding as required
Develop, refine, enhance and maintain key operating procedures for ksa and ensure compliance on a periodic basis
Biso support for ksa staff
Own poa process for all of ksa front office staff starting with creation, documentation, signatures and follow-up with requisite team for closure within timelines
Ensure all ksa ipb staff are adhering to ksa cross border travel policy (inbound and outbound) including requisite approvals, forms submission, archival and also ensuring compliance and pre-post checks on a regular basis
Prepare and update conflict of interest log and submit it on a quarterly basis to the navigator tool
Keep identifying opportunities for automation and drive process efficiencies to create more capacity and take on more and value-added work streams
Ensure regular, meaningful and open communication with all senior stakeholders
Your skills and experience
Educational qualification:
Graduate in commerce or equivalent
5+ years of experience in general business management and administrative support
Good understanding of cost, risk and regulations (nice to have)
Basic to intermediate to knowledge of ms word, ms excel, ms outlook and ms powerpoint.
Capability to automate tasks will be added advantage
Willingness to learn, to take new initiatives and bring new ideas
Excellent communication skills, both written and oral, and ability to communicate at all levels across our organisation
Ability to effectively manage conflicting demands
Attention to detail, self-motivated and solution driven
Team player who is eager to learn
