Role overview
The chartis group is looking for a driven, dynamic, organized and collaborative executive assistant to provide remote support to 2-3 executive leaders in the firm, with a focus on calendar management, travel planning, and expense report managementThis can be a remote position.
Responsibilities
Proactively manage assigned executive calendars, including scheduling meetings and identifying and resolving conflicts based on a thorough understanding of partner clients, activities, and priorities
Plan and manage travel for assigned executives, who typically visit multiple us cities each week
Prepare and submit monthly expense reports
Manage client contact information as needed in crm system (salesforce)
Create and manage correspondence (e.g., e-mails, holiday cards) as needed
Type and proofread documents (e.g., engagement letters, reports) upon request
Occasional support and coordination of office meetings, including catering and conference room reservations
Practice administrative support including business development, internal meetings, industry events, etc.
Support other special projects and/or administrative activities in support of firm objectives as assigned
Qualificatio n_ s and desired skills_
At least 5-7 years of experience providing executive-level support in a professional services environment (e.g., consulting, legal, financial services)
Bachelor’s degree preferred
Exceptional organizational skills, including ability to multi-task and prioritize competing demands in a fast-paced, dynamic environment
Excellent verbal and written communication skills
Outstanding client service orientation – highly responsive and willing to go the extra mile
Keen attention to detail
Able to identify and solve problems with little direction proactively and independently
Sound judgment and a high level of maturity
Outstanding team player and contributor to a collaborative, energizing, and fun work environment
Proficient in microsoft outlook and word
Experience with salesforce, hubspot, ms teams and zoom preferred
Strong interest in being part of a small, growing organization with a vibrant entrepreneurial spirit
Ability to travel ad hoc (~1-2 days per quarter)
