Who we are looking for:
Asco is in search of a high performing and enthusiastic administrative coordinator to provide administrative support to the vice president of member services and department leadership, operational and programmatic support across divisions; ensure smooth workflow within the office; and serve as administrative point of contactThis position will also provide support for the centralized volunteer coordination for over 200 volunteer groups, volunteer support, and volunteer database updates and reporting.
This is a hybrid position with a primary location in alexandria, vaThere will be an opportunity to work remotely most of the time.
What you will do:
Provide administrative support to the vice president of member services and senior department staff, including calendar and travel management, expense reimbursement, and meeting preparation.
Maintain teams, sharepoint department sitesMaintain member services information on asco wide sites, as appropriate.
Provide meeting management support to member services department including scheduling, onsite logistics, preparing agendas, background materials, and powerpoint presentations, av coordination, and expenses/reimbursements.
Serve as the department onboarding coordinator handling logistics and scheduling all orientations for department new hires.
Coordinate and prioritize budget input and monthly reports, contract processing for new and existing vendors and consultants through the internal contracts database system, and processing invoices and expense reports.
Oversee department corporate card use and reconciliation.
Assist in coordinating and planning of department and interdepartmental functions and events.
Provide general administrative support across divisions for annual meeting activitiesAttend annual meeting, and potential for other events for in-person recruiting and retention efforts.
Provide administrator support for centralized volunteer services with functions including management of volunteer email, reporting, and volunteer database updates on volunteer participation and group management.
Support members with volunteer applications, follow-up communications, invitations, and volunteer acceptance process.
Maintain data reports including adding, validating and reporting on group rosters, roster cleanup, volunteer application and demographic reports, and other reporting needs for volunteers.
Provide select programmatic support across the department as neededThis will include supporting membership and customer service teams.

What you will need in order to be successful:
Bachelor’s degree or equivalent experience
1-3 years membership experience and/or experience in association membership services
Experience and familiarity with demographic data analytics and reporting
Strong office 365 experience (ms word, excel, powerpoint)
Displays an ability to learn rapidly and adapt to new software and systems.
Strong administrative/organizational skills and attention to detail, with the ability to work on multiple projects simultaneously.
A “member/customer service” mentality and innate desire to provide excellent service.
Excellent organizational and time management skills
Excellent communication skills with the ability to clearly convey information in different communication methods for external and internal audiences
Able to initiate action and follow-through with minimal supervision
Excellent collaboration and communication skills with the ability to effectively communicate with members and volunteers and internal staff.
Demonstrated ability to prioritize and to complete a high volume of work and meet deadlines
Ideal candidates will also contribute:
Bachelor’s degree in business, international affairs, marketing and communications, or related field, or equivalent years of experience
2-4 years membership experience and/or experience in association membership services
Nonprofit association experience strongly preferred
Travel
6-10 per year
Ada/physical requirements
Must lift up to 25 lbs
Standing for long periods of time during onsite annual meeting or exhibit booth travel
